Job Summary:
We are seeking a highly organized and proactive Project Secretary to provide secretarial and administrative support to the Project Manager and Project Team. The ideal candidate will handle correspondence, scheduling, travel arrangements, and document management while ensuring efficiency in daily operations.
Key Responsibilities:
- Manage phone calls, emails, and visitors professionally.
- Maintain and update calendars, contacts, and schedules.
- Draft and handle correspondence, reports, and presentations.
- Organize and archive documents (both paper and electronic).
- Assist in preparing meeting notes and reports.
- Arrange travel, visas, and accommodation for international trips.
- Coordinate conferences, exhibitions, and events logistics.
- Manage office supplies and expense processing.
- Ensure discretion and professionalism in handling confidential information.
Qualifications & Skills:
- Prior experience in a similar role.
- Proficiency in Microsoft Office (SharePoint, PowerPoint, etc.).
- Fluency in spoken and written English; additional languages are a plus.
- Strong organizational, communication, and multitasking skills.
- Ability to work independently and handle complex tasks efficiently.
